Vendor Experience (VX) — Vendor Procurement Specialist
*** This is for an English-speaking role, for a US-based company***
Prefix | Remote-First | Seed-Stage Startup
Company Overview
Prefix is a fast-growing, seed-stage startup providing repair and maintenance solutions for restaurant and retail properties nationwide. As a remote-first company, we deliver expert services across HVAC/R, plumbing, electrical, general repairs, and more — enabling seamless operations for some of the country's most recognized brands.
We pride ourselves on professionalism, efficiency, and reliability. At Prefix, every vendor relationship is a partnership, and we build our network on trust, integrity, and a shared commitment to service excellence.
Position Overview
We're looking for a driven, people-first Vendor Procurement Specialist to join our Vendor Experience (VX) team. This role owns the full lifecycle of vendor partner sourcing — from identifying and screening candidates to onboarding them into our network and setting them up for long-term success.
You'll work alongside our Account Management team to support major restaurant and retail brands, ensuring we always have the right vendor partners available when and where our clients need them. This is both a strategic and reactive role: you'll be building a healthy pipeline of trade partners while also jumping in to source vendors for live, time-sensitive service needs.
If you're energized by high-volume communication, relationship building, and hitting clear targets — this role is for you.
Key Responsibilities
- Own the full vendor lifecycle — sourcing, screening, outreach, onboarding, and ongoing relationship management
- Use our platform's data-driven and AI-assisted tools to identify and prioritize vendor procurement opportunities
- Source vendors for active, time-sensitive service requests while simultaneously building a strategic pipeline of trade partners across key markets
- Conduct discovery conversations with prospective vendors — understanding their capabilities, coverage areas, and fit for our network
- Represent Prefix professionally in all vendor interactions, with the ability to negotiate terms, hold the line on standards, and close partnerships
- Collaborate closely with the Account Management team to align vendor availability with client needs across restaurants and retail locations
- Maintain accurate records of vendor interactions, pipeline status, and onboarding progress in our platform
- Perform against clear targets — activity metrics, onboarding volume, and network coverage goals
Qualifications
Required:
- Experience working with vendors, tradespeople, or contractors — in a management, service coordination, or sales capacity
- Highly comfortable on the phone and in written communication — this is a high-volume, high-touch role
- Ability to engage in discovery conversations, light negotiation, and professional pushback when needed
- Partnership mindset — you don't just add vendors, you build relationships
- Data literate — comfortable using software platforms, tracking metrics, and making decisions based on data
- Self-directed and able to manage competing priorities in a fast-paced environment
Preferred:
- Background in facilities maintenance, HVAC/R, plumbing, electrical, or general trades
- Experience with vendor onboarding, compliance documentation, or service contracts
- Familiarity with CRM or workflow management tools
